Getting started

1. 1Windows warns you the first timeThe program is not code-signed yet, so Windows shows a blue panel saying it protected your PC. Click More info, then Run anyway. A signing certificate is planned once sales support the annual cost.
2. 2There is nothing to installLabels Merge is a single .exe. Put it wherever suits you — Desktop, Documents, a folder of its own. No installer, no Python, nothing added to your system.
3. 3Paste your licence keyThe key is in your purchase email. Paste it in and click Activate. This needs an internet connection once. After that the program runs offline.

Making a sheet

1. 1Add your labelsAdd Labels… picks individual PDFs, and they print in the order you clicked them. Add All From Folder… takes every PDF in a folder and prints them A–Z by filename. One 4×6 label per file.
2. 2Choose which ones to printClick a thumbnail to select or deselect it. The number underneath shows its printing position, so a sheet can be matched to the order you are packing in.
3. 3Pick a layout2 per page is the one to use for parcels. 4 per page exists for small boxes where a full-size label will not fit, but it shrinks each label to about 85 percent and the barcode bars end up thinner than the postal specification prefers.
4. 4Create the sheetChoose Word (.docx), PDF, or both, then click Create sheets. The program tells you where it saved the file and can open it for you.

Printing, and why this is the important part

Most printers default to fitting a page inside their printable area. That prints everything slightly under size. A shrunk label looks completely normal, and you will not know anything is wrong until a parcel fails to scan somewhere in the postal network, long after it left you.

So print one sheet, measure a label with a ruler, and only then print the rest. It takes ten seconds and it is the only way to know.

Before you print

• Paper size is US Letter, not A4
• Scaling is 100 percent or actual size, not fit to page
• Orientation matches the layout you chose

What to measure

If the ruler disagrees with those numbers, the sheet was scaled. Do not ship it. The first entry under Problems below explains how to fix it.

Problems

• The label measures smaller than it should

  Almost always page scaling. Check Word’s print pane first — the scaling setting must be 100 percent or actual size, never fit to page. If it still measures small, open Printer Properties (some printers say Preferences) and set any scaling option there to 100 percent too. Print one sheet and measure again before running the rest.

• My paper is A4, not US Letter

  A4 is shorter than US Letter, so the sheet does not fit and the printer shrinks it by about 3 percent without saying so. That is enough to stop a barcode scanning. Set Paper size to Letter in the print dialog. If you have no Letter paper, print at actual size on A4 and accept that an edge may be clipped — but measure the label before you ship anything.

• Nothing happens when I double-click the program

  Windows may have quarantined the file after download. Right-click it, choose Properties, and if there is an Unblock checkbox at the bottom, tick it and click OK.

• I need to move to a different computer

  Open Settings and click Release this computer’s licence. That frees the activation so the key works on the new machine. If the old computer is already gone, email us and we will free it for you at no charge.

• It says the licence needs to reconnect

  The program re-checks the licence occasionally. Connect to the internet and start it again. It keeps working offline for 30 days between checks.

If something is going wrong inside the program, open Settings, click Diagnostics, and paste what it shows into your email. It saves a round trip.
